Module 3.2 - The Work Plan

Unit 3 · Planning A Screening Open

A screening week has four phases. A school that fills this in has done most of the planning.

✓ Take Action. Copy this, put names and dates in every blank, and share it with everyone named in it. A work plan nobody else can see is a to-do list.

Phase 1: Immediate

As soon as a school says yes.

  • [ ] MOU signed. Note the expiry.
  • [ ] Data Protection Agreement signed. Note the expiry.
  • [ ] Pre-meeting held. Date: __________
  • [ ] Next meeting scheduled. Date: __________
  • [ ] Follow-up owner named, by name, for High Risk students. See Module 9.3. A screening date does not get set before this blank is filled.
  • [ ] Consulting clinician named, by name, with a number that works on a school day. See Module 5.5.
  • [ ] Screening dates chosen. One grade per day works well, with a fifth day for close-out.
  • [ ] Instructional block chosen. Homeroom or advisory is easiest. If students have different classes day to day, that changes the plan.

A note on the schedule. One grade per day across four days, then a fifth day for the care coordination sweep. That fifth day is not padding. Friday can be used to screen absent students from Monday through Thursday.

  • [ ] Where the link will be posted decided. Google Classroom, a slide, a QR code on the board.
  • [ ] McKinney-Vento liaison and foster care point of contact identified, by name. See Modules 8.14 and 8.15.

Phase 3: The week

  • [ ] Introduction script in every teacher's hand, on paper, read aloud rather than paraphrased.
  • [ ] Devices confirmed working in the rooms being used.
  • [ ] Dashboard access provisioned for the school champions and counsellors.
  • [ ] Queue owner named for each day, by name. Someone watches the board.
  • [ ] Planner wellbeing owner named. Not the same person as the queue owner. See Module 12.4.
  • [ ] Runner identified for each block.
  • [ ] Room confirmed. Private, door closes, not the front office. Booked for the week, not the block.
  • [ ] Link locked at the end of each school day. Named person, named time. See Module 4.5.

Phase 4: After

  • [ ] Debrief meeting. Date: __________ Two to three weeks out.
  • [ ] Absent students screened by the school, as their first solo run. See Module 3.7.
  • [ ] Follow-up contacts confirmed made, not just scheduled.
  • [ ] Means conversations confirmed complete, not just agreed to.
  • [ ] Opt-out responses reviewed and something done with them. See Module 9.4.
  • [ ] Data reviewed. Trends, grade patterns, what surprised you. See Unit 10.
  • [ ] Sustainability conversation. What does next spring look like, and who owns it.
